How to Begin Digitising a Community Archive

Community archive records arranged for digitisation, including village photographs and parish material

A successful community archive digitisation project starts before the scanner is switched on. It starts with purpose, condition, priorities and the people who will search the records later.

Start with the question the archive should answer

Many villages, towns and local history groups hold photographs, parish records, minute books, maps, newsletters and memories. The first step is to decide what the archive should help people discover: family names, street histories, working lives, civic decisions or the changing shape of a place.

Assess condition before access

Fragile records need calm handling. Before digitisation, note items that are bound, torn, stuck, fading, oversized or sensitive. This helps set the right brief and prevents the project from accidentally putting important material at risk.

Plan metadata early

Metadata is the difference between a folder of images and a searchable archive. Names, dates, places, record types, creators and keywords should be considered before capture begins.

Social post idea

Post copy: Digitising a local archive is not only about scanning. It is about deciding what future generations should be able to find. Start with purpose, condition and metadata, then choose the right digitisation route.
